Booking Hotel Rooms utilizing the Travel Desk tool
1. Click on your associated Travel Hyperlink for the proper destination point.
Example link name: WSP - Lee County, FL Housing
2. Verify that the wording under the WSP logo (“Montgomery County Housing” is used in the example below) lines up with the location information you are looking to book in.
3. Select your check in and check out dates - Pay careful attention to the check in date as it may auto-generate a date in the past. Once proper dates are selected, click “View Hotels”.
4. Toggle the map view button and choose the location that best fits your travel criteria, according to the map view, then click “Select Rooms” for your preferred hotel (Remember, the hotel you select MUST be at or below the allowable GSA rate for the location).
5. After reading over the information regarding the hotel, please scroll down and select 1 room for each night that you will be staying at said hotel, then click “Book Selected Rooms”.
6. Fill out the Guest information portion. Fields with red asterisks are required. Disregard “Athlete” under Guest type and instead choose “Guest”
7. Fill Out Payment Information and then click the “Continue” button.
8. *Important - Read over the Reservation Policies section carefully to understand what your obligations are as each hotel may have different checkout notification requirements to avoid being charged for unused days. Any reservation requiring more than a 24- hour departure notice should be canceled unless the hotel specifically agrees to waive the notification requirement in writing. WSP is unable to reimburse for any unused hotel nights. Click the acknowledgement box and click “Book Now” when you are ready. click the check box to acknowledge that you agree to the Reservation Policies, then click the “Book Now” button.
9. You will receive an email notification of the booking you have just created. The email will also contain a link should you need to cancel or modify your reservation.
If it is within 24 hours of check in, you can no longer modify or cancel your reservation through Eventpipe.
If you have received a Hotel confirmation #, you may contact the hotel directly to make changes to your reservation.
If you have not received a Hotel confirmation # yet, and only have the Eventpipe confirmation #, For example “R-03456789”, then you can reach out to Travel Desk to make a change to your reservation at info@traveldeskinc.com
